The short answer
Record each post's required qualification and permitted sites, keep every guard's record current, and Fivexer shows the control room who can legitimately take an open post — and the reason each of the others cannot.

- The supervisor. The replacement is confirmed by a person, and the reason is kept on the roster.
Plan coverage by post, not just by headcount
Reception, a gatehouse and a night post may sit at the same client site but need different people. Define the posts and required coverage first. Keep each guard’s qualifications and permitted sites current, then review the week for uncovered demand before publication.
Find cover without moving the gap elsewhere
When a guard reports sick, inspect the affected shifts and eligible replacements. Being free is only the first check: the replacement also needs the required qualification, permission to work at the site and enough rest under your configured rules. Review their existing assignments before confirming the change.
Keep the decision available for the next supervisor
A shift handover should not depend on who remembers the phone call. Review the exclusion reasons, approve the replacement and keep the changed assignment in the roster. The worker portal gives the guard a place to check the current shift.

What to account for
